Online Registration & Dues Payment Form

Please read the information below carefully as we have over 1000 members with differing situations.

You will not be able to pay immediately using the form at the bottom of the page. You will be emailed an e-invoice from Quickbooks.

Our team of volunteers goal is to email you an e-invoice with in two days. This gives us time to update your profile with the information provided on the form an adjust your invoice as needed.

If you don't receive the e-invoice within two days, first check your junk/spam folder.

After we recieve your payment our volunteers will mail you back your vehicle stickers and membership IDs (if you have photos on file) to the billing address you provide. Please allow two weeks from the time of payment to recieve your stickers and IDs.

Note for 2022 Season: A large percentage of children's photos in the community needed updating. If this is the case for your family we will send notification in the envelope with your vehicle stickers that you need to attend one of the Dues Payment dates list on the Homepage to updated the photos.

Boat/Trailer Stickers:

Boat/Trailer stickers cannot be paid for online at this time and need to be paid for with separate check from HOA Dues. You can get the stickers at the Dues Collection nights at the clubhouse listed on the Homepage or contact Courtney at 410-643-7739 to coordinate payment and delivery. $35 for the first sticker, and $20 each additional vessel. You must have current registration for the vessel to be issued stickers.

Renters:

If you are renting a property in Cloverfields and want to use the amenites you would need to apply for an Associate Membership using this form. Assoicate Memberships cost $160.00 and come with two vehicle stickers to park at the pool, beach and clubhouse. The owner of the property your are renting must first pay their annual dues and provide a copy of the lease agreement to the Board. The lease agreement can be mail to cpoabilling@gmail.com.

Late fees:

Annual Dues are consider past due if not paid by 28 Feb of the dues year. After which you will be charge a monthly late fee of $11. If you request an e-invoice just prior to the deadline and we don't send it until after the deadline you will have a 3 day grace period from the time we send the e-invoice before a late fee is charged.

Expanded Information:

Associate Membership Applications: If you are renting a property in Cloverfields, by filling out the form above you are applying for an Associate Membership to the Cloverfields Property Owners Association. Initial applicants will need to provide a copy of thier lease agreement in addition to filling out the form above. Please email the lease agreement to cpoabilling@gmail.com. Both initial applications and renewals of Assoicate Memberships will not be approved until the owner of the property has first paid his annual dues for that year. Once your application has been approved by the CPOA Board if you don't have Membership ID photo on file for your family you will need to make arrangements to have the photos take. Membership ID photo dates are list on the Homepage. You will also be mailed two vehicle stickers to park at the pool, beach, marina, clubhouse. You are not to use the stickers issued to the owner of the property. Violation of this could result in you and the owner lossing thier privileges to the amenties.

Pool Pass/Membership ID Information: While on CPOA property (i.e. pool, beach, marina and clubhouse) you should have your Membership ID in your possession.

You Must have your photo taken for the ID if you are new to Cloverfields (everyone in the family), or if you have not taken a photo on our system or if you have a new family member (babies must have photo ID) or if your children need a new photo every two years (under five years old needs a picture yearly).

If we have your photos on file, we will mail your pre-printed Membership ID’s back with your receipt. Or you can collect them if you pay in person at the Clubhouse in February.

Who is eligible to be issued a Pool Pass/Memberhship IDs: The Association will issue Membership IDs to all owners of a property and their immediate family members.

The Rules and Restrictions of the HOA outline that a residence is limited to one family. The Association defines one family to include the owner, owner’s significant other and their children up to the age of 26 who live in the residence and those living in the residence that the owner has legal guardianship. It does not include grandchildren, the owners parents, boy/girl friends or aunts/uncles. Those residing in the residence that are described in that context would be considered a second family and would require an Associate Membership to be given access to the community amenities.

Children of the owner that are 18 and older will need to provide proof of residence (i.e. utility bill, driver’s license, etc.).

The Association uses the Maryland State Department of Taxation and Assessments website (www.sdat.dat.maryland.gov) to verify the titled owners of the property.

Vehicle Stickers: With payment of your annual dues each household will be mailed two vehicle stickers. You can request additional stickers at a cost of $5.00 per additional sticker. Requesting additional stickers will add the requirement to provide vehicle regstrations for ALL vehicle that you will be placing vehicle stickers on. The stickers should be placed on the lower left corner of your windsheild. You can email the vehicle registrations to cpoabilling@gmail.com.
